Microsoft CRM has variety of customizations options and tools. The official and the most popular is Microsoft CRM SDK: collection of C#.Net and partially VB.Net classes, methods and code samples. Here we would like to give you more complex case, when you call CRM SDK customization from custom MS Exchange event handler we are improving the functionality of MS Exchange MS CRM connector.

Imagine the case when you want outgoing email to be captured and placed into CRM, attached to Contact, Account or Lead they should belong to. If this is realized your salespeople can use any email tool to send their messages, they do not have to do it in CRM or Outlook Client for CRM.

MS Exchange OnSyncSave database event cant work with Sent folder it doesnt fire when message goes to Sent folder. The reason is described here:

Lotus Notes Domino and Microsoft CRM Integration

Well, even if  the combination might look very unusual, we see the coexistence of these two systems, especially in large corporations, non-profit organizations. Technically Lotus Notes Domino has parallel structure, including Domino email server.  Lotus is extremely flexible and you can program your own CRM or purchase CRM for Lotus, however Microsoft CRM has Microsoft SQL Server database and very simple Sales automation module.  Lets look at the integration reasons and scenarios.  Be sure that each specific case requires custom programming, tuning and support.

  • Why Lotus & MS CRM?  There are several reasons to combine the two.  First Lotus Domino has very long history and is present on the market over 15 years.  Corporations might have business system built upon the Lotus Notes Domino platform and it is not desirable or even feasible from the complexity standpoint to phase it out.  The second reason is possible IT strategy to balance multiple platforms to avoid over-dependence on one vendor (such as Microsoft).  There might be also licensing issue if corporation has several hundred Lotus licenses it doesnt want to lose them and pay for 200 Microsoft CRM users.  In this case MS CRM might be the solution for Sales department and all the other departments should stay on Lotus.
  • Lotus Domino as Messaging for MS CRM.  There is no need to program this custom piece, just use MS CRM Lotus Domino connector, supported by Alba Spectrum Technologies.  It has advanced functionality, versus standard MS CRM Exchange connector.  Instead of using GUID in the email header, it scans Contacts, Accounts, Leads emails for matching.
  • Lotus Workflow.  Workflow is possible in Lotus and MS CRM.  In Lotus, however workflow is the most advanced.  You can use Lotus Workflow and then upon the completion it can transfer control to Microsoft CRM.  This is typical Microsoft CRM SDK (to program MS CRM) and Lotus Java Agent programming from the side of Lotus.  Lotus workflow may work with integration to your ERP/Accounting application, such as Microsoft Great Plains, Navision, Axapta, however this is outside of the scope of this article.
  • Lotus/CRM Activities Synchronization.  One of the popular requirements is the synchronization of Microsoft CRM Activities: Appointment, Phone Call, Fax, etc. with Lotus TOTOs.  This should allow users work on the same project sharing Lotus and MS CRM data space.

Is Your CRM System Destined To Fail?

Its time to put your trusty CRM software to work; to let it earn its keep. You're about to blast an email out to several thousand potential customers. First you run a search of people and companies you want to target. You soon realize somethings wrong when your list is far smaller than anticipated. A quick check reveals many profiles have not been filled in or are missing email addresses. Further inspection shows numerous records are incorrect; others are riddled with typos. And thats just for starters. With a sinking feeling, you realize this email blast isnt going to happen anytime soon.

Time for some damage control or preventative maintenance

Fortunately one of the most common reasons cited for the high failure rate of CRM systems - poor data quality - is also one of the easiest to avoid. Your CRM software is only as good as the information it contains. As the old programmers motto goes garbage in, garbage out. So how can you avoid incomplete, incorrect, irrelevant or out-of-date and generally unfit-for-use data from permeating your CRM software?

You need to gather your key CRM users together and write a standard guideline document, defining the CRM system rules of use.

10 questions that should be addressed:

1. Identify who has what rights to the system; who can Create, Insert,
Modify or Delete records? Forward this information to your system
administrator to record.
2. Decide on a procedure to check for any duplicates before creating a
record. Depending on what de-duping or data scrubbing features your
system has, this might require some simple searches before starting a new
record.
3. Do you allow abbreviations or acronyms? For example: IBM, or I.B.M,
or International Business Machines Inc. A policy on ensuring consistency
of input will help to avoid duplications in future.
4. Are records going to be created in Upper and Lower case and when are
CAPS acceptable?
5. By when do you expect records, notes and so on to be created or
updated? Same day, on return to the office?
6. Is the primary address of clients to be created as a postal or a
physical address?
7. Make sure everyone checks spellings if they are unsure. When in
doubt, ask the client or Google it.
8. Make rules for creating new tabs or Custom Objects (as
salesforce.com CRM calls them.) Every time a new Custom Object is needed,
it should first be approved.
9. Ensure that email addresses are put in correctly. Basic but common
mistake!
10. Set up procedures, if not supported by your crm software, of how to
create records from inbound emails.

Once your document is finished, get everyone to sign off on it. As
standard practice, ensure that document is handed to all new employees at
your company.

How do I reinforce this as time goes on?
Try this: select a couple of records - both good and bad - every week, to
put on the overhead at staff meetings. Make sure you dont unduly
embarrass anybody but watch this become the light-relief highlight of your
meetings! People learn best when having fun!

What if your database is in one unholy mess?
Has the rot set in so deeply that your database needs a complete overhaul?
Turn this seemingly insurmountable task into an opportunity to you. This
is an excellent excuse to re-establish contact with your clients and let
them know you care.

Importantly, help your staff understand what you need from the data to
facilitate more accurate marketing and reporting and hence the success of
your business and their careers.

By creating a sense of pride and ownership in the company database, you
are nurturing the essential process of buy-in, necessary for the success
of your CRM initiative. Dont compromise this critical tool by allowing
your CRM software to be infected by inferior data.

Microsoft CRM Integration & Customization: Share

MS CRM is very close to document workflow automation, including Microsoft Office documents: Words, Excel, etc. The document workflow was perfectly automated about 10 years ago in Lotus Notes Domino. In this small article we describe the solution based on MS CRM integration with MS SharePoint.

Microsoft CRM is new player on CRM applications market and it is gaining its market share. Having different paradigm in its design (it stakes on Microsoft OS and technologies and completely disregards alternative platform, such as UNIX, Linux, Oracle, etc. based). Microsoft CRM market is very diversified: from small (5 users) to large (several hundred MS CRM User licenses) and it serves variety of industries: Transportation, Logistics, Lawyers, Pension Funds, High-Tech, and many others. Deploying technologies, like Windows Active Directory, Microsoft Exchange 2003/2000, SQL Server, Crystal Reports Enterprise, Biztalk, Microsoft Outlook, Internet Explorer, Microsoft Great Plains and Navision in close future - makes CRM a beloved system for Microsoft oriented IT departments.

Let's go right to the topic.

Major issue with storing documents in MS CRM in the form of attachments to Activity is inability to work on these attached files in cooperation with other colleagues, who do not have to use CRM. When several service people serve requests from the same client this is required. Currently you can use alternative way when you store office documents in the folders of your file system and when modifying document, you save it and reattach to CRM. This is inconvenient, because first it requires all your editing users to have CRM licenses, which delays CRM implementation.

We seem increasing popularity of document storage systems, like Microsoft SharePoint, Oracle Files, etc. Such systems, being implemented gives you time savings, related to documents revisions and versioning, approval cycles and workflows, web access through web-portals systems and the like.

The target of our product is Microsoft SharePoint integration with MS CRM for document storage. Let's take a look at the high level technical realization details:

  • Main modification from the MS CRM side is standard system behavior change when you open attachment in Activity. Standard unmodified CRM suggests you to store documents in the file system. Modified version sores document in SharePoint Document Library (the required library is subject for setup by MS CRM system administrator) or keep it in MS CRM as is (for documents of minor importance). From the moment of saving the document in SharePoint Document Library it is not stored in MS CRM CRM will now store only the link/reference to the document. Also you are given the ability to open and modify the document at the place of opening, which speeds up MS CRM user performance substantially.

  • Table, storing the links to the documents sits in separate database and doesn't deal with MS CRM tables (you know that you are banned to do structure changes in MS CRM db)

  • Document saving into MS SharePoint process occurs in MS CRM and with its assistance SharePoint bridge, which does addition and update for the existing document into destination Document Library with MS SharePoint Web Services calls

  • Upon the addition into Document Library, MS CRM SharePoint bridge registers the document in the special table for the future data extraction or notification mechanism registration

  • Then, interested users can work with the documents just using MS Office 2003 or other programs/editing tools, assuming these tools have access to MS SharePoint

  • Feedback is provided by MS SharePoint Event Handler component. This is special handler, inspecting document change status, transferred from MS CRM to document storage (SharePoint), and report Activity owner on the changes with home page notifications (User home page in MS CRM). User in turn can review the history of the document editing - who, when and where is the change

  • Opening Activity, where document is "attached", and in fact placed into MS SharePoint Document Library, and pressing opening button, MS CRM user gets live version of the data

  • This approach allows you seamless work with MS CRM document in the whole informational space of your company

  • Additional enhancements to this product might be document library management directly from MS CRM (web interface - meaning remotely), administrative interface for MS Sharepoint documents revision, ability to create reports on the document storage status, rights/access management (Author, Reader, Contributor etc) from MS CRM, portal pages integration into MS CRM to name a few.

CRM 101 ? The Basics of Customer Relationship Management

What is CRM?
CRM, or Customer Relationship Management, can be defined as a software program, business strategy, or internet system that helps a business manage and organize its customer database. This includes contacting customers more efficiently, keeping leads hot, aiding in workplace effectiveness, and generally improving customer service and business relationships.

How Does CRM work?
Essentially, CRM works by allowing a representative or agent to access detailed customer information quickly and efficiently while the client is on the line. This means less hassle for the client and a quicker transaction.

For example, say a client contacts a company representative about possibly purchasing the company's product. 9 Steps to Building a Profitable Customer Relationship

Success in sales depends directly on your ability to make yourself likeable, and create a positive experience for your customers. The following 9 Tips are some of the best - and easiest - ways I know to help you create a more positive customer experience:

  • Love what you sell, the company you work for and the customers you serve.
    If you are truly passionate about these three things, your willingness to help your customers solve their problems will shine through. Customers will believe your sincerity and be captivated by your excitement. In short - you will be fun to work with. Our studies show that customers prefer to buy from sales people who overtly show that they believe in the products they sell, and the companies they work for. Choose to be honest, open and empathetic to your customers' needs, and you will experience consistent sales growth, build an excellent reputation and become one of the top performers in your field.

  • Be empathetic and compassionate.
    Truly care about your customers, and remember that no matter how good an actor you are, faking it simply won't work. Ask questions, take notes and lean in to show that you're engaged in their answers. When you take an interest in people, they remember you - and when people remember you, it's good for business.

  • Add value and give first.
    Share your network of contacts with your customers, and don't expect them to give you their business without you giving them something first. I don't mean give away free product in the hopes they will buy more. Instead, give away things that increase your value - like a referral to a partner of yours, a solution to a business problem that you read about or heard from someone else, or even help finding a new dentist!

  • Make eye contact.
    This is especially important when you walk into a room full of people. Eye contact is also essential after we get to know people, because it cements our existing relationships and lets them know that we're still interested in their well being. Very few sales people ever look their prospects directly in the eye. By simply smiling and making eye contact, you'll be surprised how much you will set yourself apart.

  • Express your true intent.
    Tell customers upfront: "I don't know if there's a fit between what you need and what I have right now, but I'm hoping we can explore that in more detail during this meeting." Or: "I only have your best interests at heart, and I promise to be honest with you throughout our conversation. In the end, I hope that we can mutually decide if there is a reason to move forward. If not, that's fine too, and I hope you'll feel comfortable telling me so." This advice runs counter to 90% of the approaches I see being used in the field today. But then again, maybe that's why only 10% of sales people are top performers. Try it yourself a few times, and you'll be amazed at the response you get.

  • Don't go for the big decision all at once.
    In our personal lives, we don't propose to someone on a first date (at least, not usually!). The same is true in our business relationships. So get approval from the customer to move ahead in increasing increments. The first approval might be just to agree to speak openly with each other, as outlined in Tip #5 above. The second could be an agreement on a follow-up call time or meeting date. The third might be gaining agreement on the decision making criteria or a commitment to have the "big boss" present at the demo, followed by an agreement to a "go/no go" decision date. All too often, I see sales people jumping way ahead of their prospect's buying curve. This puts the buyer and seller out of synch. When the sales person is trying to close while the prospect is still evaluating options or determining risk, trust is broken, the prospect feels pushed and the sale comes dangerously close to disappearing.

  • Use friendly, warm words.
    When you use simple language instead of formal "business speak," people respond better and trust you more. So limit your words to three syllables max. And don't try to impress prospects with your extensive vocabulary, or you may end up just sounding fake.

  • Use people's names.
    When it comes to using names, there are just two rules to follow: first, be aware of whether they're more comfortable with first name only or title + last name; second, never overuse their name - this only sounds corny and false. Dale Carnegie once said, "nothing is so beautiful to a person as the sound of their own name." Just use your discretion.

  • Ask the right questions.
    Successfully building agreement with your prospects depends on your ability to ask the right questions. What are the right questions? Those that move the prospect from an intellectual position of knowing they have a problem that needs to be solved, to an emotional state of trusting you to solve that problem in a way that will satisfy them.
    In short, the right questions are those that reveal true buying motivations. Mastering the right questions will ensure that you and your client build a strong relationship, wherein you can both succeed - and profit!
  • To help you close more deals and build lasting profitable customer relationships, try asking some of the following questions during your needs analysis:

    1. Identify the intellectual problem with a lead-in question.

    • What makes you think...?
    • How do you select...?
    • What?s most important to you about...?
    • Where do you see...?
    • How have you employed...?
    • What has been your experience with...?

    2. Develop an intellectual awareness about this problem.

    • Can you tell me more about it?
    • Could you be more specific?
    • How long have you had this concern?
    • What have you done to address it?
    • How did that work out?

    3. Identify the specific business impact of this problem.

    • How has this problem impacted your organization?
    • If you had to guess, what do you think this problem is costing your department / company / business / etc?
    • What will happen if this problem continues?

    4. Get emotional! Identify the specific personal impact of this problem.

    • What impact does this problem have on your job / your staff?
    • How important is this to you personally?
    • What will happen if you don't find a solution to this problem?
    • Why is it so important?

    Remember: your success is directly determined by the way you are perceived, and the amount of effort you put into your career. Changing any of those variables will have a huge impact on whether you succeed or fail.

    Cement Stronger Customer Relationships By Following The Confirmation Letter ABC's

    As more entrepreneurs enter into online commerce, many make a common mistake: they get so involved with the technology that they forget that there's a live person on the other side of the computer screen. They forget that they're dealing with PEOPLE.

    As a result, the Internet has begun to get a reputation for being cold...lacking in the personal touch. And it's this personal touch that forges a strong customer bond. Ignore this and you may find your customers drifting over to your competition.

    You must give them a reason to stay loyal!
